The Book Session page is used to create a new appointment for a patient. It allows complete control over appointment details, therapist assignment, pricing, and scheduling.

Patient information
Select the patient who will attend the session. If the patient is not yet registered, create a patient record before booking the appointment.
Therapist
Choose the therapist responsible for the session.
Service
There are two ways to assign a service:
- Registered Service — select an existing service from your clinic's service list; the system automatically loads the default duration and price.
- Manual Service — if the service hasn't been created in advance, enter the session price manually without adding it permanently to the clinic's service list.
Appointment details
Specify the appointment date, start time, and session duration. The system calculates the appointment period based on the selected duration.
Price
Enter or edit the session fee when necessary — this allows flexible pricing for special cases.
Department and room (optional)
Assigning a department or treatment room helps prevent scheduling conflicts and improves room management.
Additional notes
Use the Notes section to record special instructions or clinical information relevant to the appointment.
Financial Settings
Depending on your clinic configuration, appointments may also include discounts, taxes, additional charges, and payment status. These values are automatically reflected in the patient's financial record.
Appointment Confirmation
After saving the appointment, the system can automatically:
- Add the appointment to the clinic schedule.
- Display it in the Reception page.
- Update therapist availability.
WhatsApp Reminder
If the patient has a registered mobile number, the clinic can send a WhatsApp appointment reminder containing the appointment date, time, therapist, and clinic information. This helps reduce missed appointments and improves attendance.
Best Practice
Always verify the therapist, room, appointment time, and patient contact information before confirming the booking to avoid scheduling conflicts and ensure reminder messages are delivered successfully.
